Working with simple and advanced filters.

Document search

In wflow, you can perform a full-text search of documents based on the filled-in fields in the document overview. For example, you can search by document number, supplier name, ID number, etc.

This option makes it easier to access the individual subsections of the this menu. You can easily get to a specific settings section, or to a specific document type.

Filters in wflow offer many possibilities. You can use:

  1. Filter presets

  2. Filters that created and saved by you

Preset filters

Above the Overview, on the top right, you can see the document filter based on their Status, which is divided into 5 sections:

  1. New document

  2. Waiting to be sent to extraction / Sending to extraction error / Successfully sent to extraction

  3. Extracted

  4. Submitted to review / Reviewed

  5. Waiting to be sent to ERP / Sending to ERP error / Sent to ERP

For every status icon (exept Sent to ERP), the following applies:

  • If there is not a single document with the given status in the overview, the icon is gray.

  • If there is at least one document with the given status in the Overview, the icon is colored and shows the number of documents with that status at the top.

  • If the number of documents exceeds 99, it displays 99+ and the exact number is shown when you hover your mouse over the icon

Rules of using filters:

  • Only one status can be checked – combinations are only allowed via the user-created filters on the right.

  • When you switch to another view, the filter is reset, i.e., no icon will be checked

TIP - Filtering by document status always corresponds to the workflow automation set for the given kind and type of document. For example, if Receipts are not subject to review, the review status/icon will not appear in the list of possible statuses.

User - created filters:

To start filtering, click the button with the "funnel" symbol next to the search window.

Filtering is possible in the Document Overview and in the Storage.

Use the checkboxes to select the criteria for the filter. You can also select multiple checkboxes at once.

Once you have selected the filter criteria, click Apply Filter. You can also save the filter for future use.

Wflow offers these filter options:

Advanced filtration

To use advanced filtering, click on the Advanced filtration button.

In the following dialog box, you can select any property and filter condition from the list of fields. You can also select multiple conditions at once. These filtering conditions will be applied simultaneously.

Saving filters

You can save all filter settings by clicking the Save Filter button. When saving, select whether to save only for the given document type (e.g. invoices issued) or for all document types.

You can also choose whether the filter is visible only to you, or to other users in the organization as well.

The saved filter will appear as a new button in the filtering overview in the Saved filter collection section. Activate the saved filter by clicking on this button. If you want to edit the saved filter, click on the gear icon on the button with the saved filter.
