Actions with documents

Bulk modification of accounting, change of document type/document type, unlocking, linking, merging, sending to extraction, review, to ERP

This article describes the actions that can be used to modify the parameters of individual records in wflow. Such as:


Unlocking and locking

The document can be unlocked and locked in two ways

In the document detail in the upper right corner, click on the lock icon.

From the document overview (Bulk and individually). Select the documents you want to unlock from the document overview (1). Then click on the lock icon (2) on the pop-up bar.

Changing document's type and kind

Select the documents you want to move to a different type or type (1) in the document overview. Then click on the move documents icon (2) in the pop-up bar. A window will appear to select the section where you want to move the documents. (3)

If you are moving documents between invoices and receipts, the extracted data of these documents can be preserved. To preserve the data, select the option - Preserve data (4).

Linking and merging documents

Linking

You can link a document to another document from its detail. After clicking on the document, find the Linked Documents section. Click the add button to display a window where you can select the document type and then the specific document to be linked to the document.

Merging

You can merge two or more documents into one record from the document overview. Select the documents you want to merge and click the Merge Documents button (1). You will then be asked to select the primary document into which the documents should be merged. Clicking the merge button will merge the documents and create a joined record.

Bulk accounting fields changes

To change the accounting fields of documents in bulk, select the documents affected by the change in the document overview (1). Then, in the pop-up bar, click on the accounting icon (2). A window will appear where you can select the values you want for the individual fields.

Sending documents for extraction, review, to ERP

These document actions can be again performed in two ways.

From the document detail in the upper right corner

By clicking on the more tools icon (three dots).

From the document overview (Bulk and individually)

In the document overview, select the documents for which you want to perform the actions (1). Then click again on the multiple options icon (three dots) (2) on the pop-up bar.

Downloading and exporting files

There are several options in wflow to download documents:

From the document overview

To download files, select one or more documents you wish to download and press the download button.

Then select in the pop-up window whether you want to download only the main files or all files. The maximum number of documents that can be downloaded in this way is 80. The files are downloaded and compressed in ZIP.

From the document detail

After clicking on the document detail, you can again download the whole record in the ZIP archive (1), or you can download individual files. (2), if you want to download only some specific files of the document. Or the main file without compressing it into a ZIP.

Export of documents

A user whose role has the right to export documents can also use this option.

Export documents by clicking the export button in the horizontal menu (1). Here you can choose from preset exports or you can define your own export (2).
