Marking users, setting alerts, editing comments

Comments are an effective tool for discussion over individual documents.

How to add a comment?

The user has several options for adding a comment to the document.

From the document detail:

After clicking on the document, click on the comments icon (1) on the left side of the screen. The bar to create a comment (2) will appear.

From the document overview:

In the document overview, click on the comments icon and enter a comment in the subsequent window.


As part of the approval process:

If you are returning or rejecting a document, you will be asked to enter a comment. Without a comment, you cannot complete the rejection or return.

Tagging users in comments


To tag a user or Team in your comment, just type the '@' sign and start typing the name. The app will then offer you a list of all relevant users or Teams to tag.

The tagged users (or users in the tagged role) can then confirm reading or performing the task in a comment via the "Solve" action.

Editing comments

Edit your comment using the additional actions button directly next to the comment.

Make adjustments and save changes.

The comment then indicates that it has been edited.

A similar behaviour is applied in case of removing a comment.

To maintain an audit trail, all edits and deleted comments history will still be available.

Only the author of the comment can edit or delete it.

Comments waiting for your attention

You can find them in Comments in the main navigation bar in My Tasks section:

In the comments column in Documents, they are highlighted with a red dot:

You can see a notification in the organization overview (dashboard) under the new tab "Comments"

You can also receive email notifications by enabling them in Settings > Notifications > New comments to resolve.

This feature can therefore help you resolve these issues:

  • the comment does not reach the user: All users can now access documents with comments to resolve directly through a filter in the main navigation of the app. Each user therefore knows which comments to react to.

  • Slow response to comments: Users can turn on notifications to always hear about comments in a timely manner.

  • Proof of communication: dates of creation and resolution of comments are kept. All communication between users in comments is therefore traceable.

TIP: You can also tag a user in a comment when entering a reason for rejecting or returning a document as part of the approval process.
