Users and their permissions

This article describes three basic aspects of working with users and their permissions.

Users

Adding a new user

In the left menu click Settings → Users → Add user

A new window will open. Fill in:

  1. Username (E-mail)

  2. Optionally select Role (User's rights Package) and Team (Used for Approval)

  3. Access to document types.

  4. Access to documents can be selected in bulk (1) or individually for each type.

  5. For each document type, you define whether the user will see all documents (2), or only those that they have uploaded or are part of their approval path (3).

  6. Save the access settings and send the invitation to the given email address.

Deleting, duplicating a user

You can delete or duplicate users using the "more options" icon on the left side of the screen.

You can use duplicate if you are adding another user who should have the same rights and be part of the same teams as an existing user.

Deleted users are removed from all Teams of which they have been a member of. Record of their actions remains in the document audit trails (Approvals, document edits, etc.).

Roles (User's rights package)

Roles are used to define and set user rights. If individual user rights differ, you must create a role for each user. If they are the same, multiple users can use one role. At the same time, each user can be assigned multiple roles.

To set these rights, go to the Roles tab -> Add Roles.

A window will appear where you define the Roles name, and add appropriate Users.

You can then select from the individual rights sections. You can always select each section as a whole, or just use the individual permissions from that section.

Teams

Teams are used in approval paths when you need to approve a document by one of the users in the list, but it doesn't matter which user approves the document. A user can be a member of multiple teams at the same time.

To set these permissions, go to the Teams tab -> Create Team.

In the window that appears, enter a team name and add users.
