Collection e-mail

Is the address to which you can send documents from your email address. When you send files to this address, they will be uploaded directly to the document type that is specified in the settings of this address.

You can easily create multiple collection e-mails, which will make it easier for you to sort documents on entry into wflow.

TIP - create two addresses and send incoming invoices to one and receipts to the other

It is possible to add an unlimited number of collection emails by Document Type or by Folder.

Setting up collection emails

In left menu click on Settings -> E-mails -> +

A new window will appear. Fill in:

  1. Mail Address

  2. Document type or Folder

Merge all PDF attachments into one document

If this option is enabled and multiple PDF files are sent to the address, a single record will be created in wflow containing all these PDFs, if any of them is to be extracted, the main file to be extracted will need to be marked as a main file.

If this option is not active, wflow will create individual records for each PDF sent in the given message.

Ignore image attachments

Restricts files in image formats such as various logos, etc. to free up capacity for the number of attachments (20). However, if you are receiving, for example, scanned documents in image formats, we recommend that you do not activate this form.

Receive e-mails only from allowed addresses:

E-mails can have whitelist activated in wflow to prevent receiving junk mail from unauthorized persons.

In addition to specific addresses, the entire domain can be enabled in this way, so just type "@domain.com" and all company addresses with this domain will be enabled

TIP: If you do not wish to use our collection e-mails. Just redirect the e-mail you already use to receive your invoices to these e-mails.

After sending an e-mail with a document to wflow, a new record will be created in the section where the document was sent.

After clicking on the record, pay attention to the list of attachments. In addition to the document file itself, you will also find .html and .txt attachments where you can view the text part of the given e-mail.

Collection e-mail limitations

The maximum size of a single email can be up to 50 MB. The maximum number of attachments per email is 20 (this number includes all attachments that an email may contain, such as image logos, signatures, etc.).
