For time stamps, we use the services of the certification authority PostSignum (Česká pošta), which are in compliance with the EU eIDAS regulation. As part of our trusted electronic archive, time stamps are free for wflow users.

What is a time stamp and why use it?
A time stamp guarantees that the specified data in electronic form existed at a certain point in time in that form. The system time that is recorded in documents is easily manipulated. Only a time stamp will provide you with indisputable proof of what your document looked like at the moment you stamped it.

How to create a time stamp in wflow?
From the document overview:
In bulk or individually by clicking on more options on the right side.

You can also apply a time stamp in the overview of attached documents, under the document preview, by clicking on the gray stamp icon. After stamping, you can view information about the time stamp by clicking on the stamp icon, which will be colored blue:

At what point should documents be stamped?
From a legislative point of view, you can use the time stamp anytime during the processing of the document, before sending it to the accounting software (ERP).
If you want to automate stamping (instructions can be found below), you can choose from 2 options in wflow:
a. Immediately after receiving a new document in wflow
b. Before sending the document to the ERP
Displaying the time stamp in the Overview
If you want to have an overview of which documents have been stamped, add the Stamped item to the active columns. A blue icon will be displayed for documents with a time stamp.
How to automate the creation of a time stamp
For different document types, you can set up automatic creation of a time stamp, either after the document is created or after it is approved.
This feature is included in the Business and Enterprise price plans.
In addition to time stamps, you can also use qualified electronic signatures.
