Paying from Document detail – QR code

Small businesses can pay invoices using a generated QR code, which they then scan with their mobile banking app on their phone. They can then send the payment using their internet banking.

QR code format

Wflow currently supports QR code generation in both Czech and Slovak format. To set these options, you need to configure the VAT registration country field in the Organization Profile.

Payments field – Document detail

In the detail of the pending invoice document, in the Payments field, there is an editable Date and Amount field whose value is based on the Total Amount metadata. You can also pay an invoice if its Total Amount is zero, but the QR code will not be generated. Also, pay attention to the fields filled in regarding the payment, such as Account Number, Variable Symbol, Constant Symbol, Currency, etc. If the Account Number and IBAN are filled in the metadata at the same time, the payment will be referred to the IBAN.

Paying an invoice

If you want to pay the invoice directly, click on the Pay button. A QR code will then be generated and can be scanned by the mobile banking app.

After payment, the payment detail will show the name of the user who sent the payment, the date, the payment amount, and the QR code through which the payment was made.

This sets the Payment Status as Paid. You can only pay an invoice once.

Mark for payment

In case you do not want to pay the invoice, but only mark it or request its payment, click the Mark for payment button.

In the document overview, the marked for payment is marked by a green symbol in the payment status.

This option is mainly intended for medium and large companies whose authorized persons issue payment orders in ERP.

If you want to mark one particular invoice for payment, click on More tools (icon on the far right - three vertical dots) in the corresponding row of the Document in Overview and select Mark for payment.

If you need to mark more than one document, click on the checkboxes of the respective invoices in the report. Bulk Action button (three vertical dots) will then appear above the list of documents. After clicking on the dots, select Mark for payment.

Selected invoices will receive a Marked for payment Payment Status.

Paying invoices marked for payment

For documents with the Payment status Marked for payment, the user responsible for payments will make the payment in the ERP (accounting system). After they have been paid, it is possible to mark the invoices in wflow by selecting the option Pay either via Other group actions or individually via More tools.

The documents then get the Paid status.

Warning: Documents that do not have been Marked for Payment cannot be set as Paid using the Pay Marked Invoices option.

To view the column indicating Payment Status in the overview, click on the Columns button and drag the same name from Inactive to Active.

You can also filter documents by the payment status. Just click on the Search and filters box. The Payment Status section is part of the predefined filters. You can filter your documents f.e. by: Unpaid, Partially paid, Paid and Marked for payment.
